Managing adjunct faculty can be a serious challenge for university administrators. Adjunct contracts need to be approved and signed by multiple parties, including professors, deans, and HR departments, in a timely manner in order to avoid pay-out delays or monetary losses on either side. 

airSlate has helped Fresno Pacific University streamline the adjunct contract process by integrating its no-code automation tools with its Salesforce system. Established in 1944, Fresno Pacific University is the only accredited non-profit Christian university in California’s Central Valley. Offering more than one hundred areas of study, it currently has over 4,000 students enrolled.

The customer

With several campuses across the Valley and a large amount of adjunct faculty, FPU offers full-time courses in business, natural and social sciences, humanities, religion, pedagogics, and more. In addition, the university teaches online programs and personal development studies, reaching about 10,000 students across the entire U.S. Always encouraging its students to achieve more, Fresno Pacific University has the region’s highest four-year graduation rate.

The problem

With a vast number of adjunct faculty, Fresno Pacific University was tasked with processing thousands of employment contracts that needed to be signed by multiple parties and paid on a regular basis. Before switching to airSlate, FPU used to rely on manual, paper-based workflows, which eventually caused multiple issues. 

Despite using the Mail Merge feature in Salesforce (which allowed for automating the process of generating personalized documents), adjunct contracts took hours to process and sign, creating huge overhead. Eventually, the contracts would be sent to employees by physical mail, and as a result, the university administration couldn’t get their hands on signed documents for weeks. Meanwhile, the law in California obliged employers to pay their adjunct staff regardless of if they had signed their contracts or not. Hence, the need for a swift eSignature solution became critical in averting potential financial risks.

In addition, Fresno Pacific University was looking for a solution that could seamlessly integrate with Salesforce. Using the CRM to store and process employee records, FPU needed an eSignature platform that would enable automated workflows inside the software ecosystem they were used to. The answer

Dean assistants at Fresno Pacific University who were in charge of generating and processing adjunct contracts grew excited about airSlate and what it had to offer. After checking out the demos of alternative products, they finally decided to go with airSlate because it provided an unparalleled array of automation features and was the best value for the money. During my rollout, I once ran into something I couldn’t describe […], but it got fixed. So overall, I thought the implementation was pretty smooth.

With no technical background or any workflow automation skills whatsoever, the Dean’s assistants at FPU had no issues mastering airSlate’s no-code tools embedded in their Salesforce accounts. Now, they efficiently use quick workflow Slates and eSignatures to collect digitally signed contracts in hours instead of weeks.

“They generate a contract from the records in Salesforce; then, it goes to the Dean who signs it; then, it goes to the adjunct who signs it; then, it comes back in — the HR is aware — and then the adjuncts get paid.

Conclusion

Happy with how the airSlate implementation project panned out, the IT specialists at FPU are realizing that they have barely scratched the surface of what airSlate can do to streamline the university’s document processes. Also, moving from Salesforce Classic to Salesforce Lightning, they expect airSlate to help them automate even more workflows. They also hope that it will fill in the gaps where some of the Salesforce functionality they previously used (like Mail Merge) was removed in the new framework.  

What’s more, FPU tech specialists are contemplating the possibility of introducing airSlate forms and other automation solutions to replace third-party products that have no API.

How OMI uses airSlate internally

Before their introduction to airSlate from a partner, OMI used to have two different systems for their master service agreements. Thus, opportunities and quotes needed to be transferred manually before they could become sales orders. airSlate helped with consolidating several of these smaller processes into a single workflow. The time-saving effect from this consolidation was notable almost immediately:

Once contract negotiation & redlining was integrated via airSlate with OMI’s sales workflow in Salesforce, the number of manual iterations was quickly brought to a minimum. Paul describes it as “turning into the click of a button.”

Helping other businesses get the most of airSlate and signNow

OMI came to know about airSlate, as a standalone product and a vendor of signNow, about a year ago. Almost immediately, they realized that airSlate was the perfect match for what they were already doing, primarily due to the accumulated experience with the custom applications of Salesforce, Dynamics, and some other software systems.

Today, OMI is implementing airSlate for:

  • companies that are already using Salesforce or Dynamics 365,
  • companies that were introduced to airSlate independently but are lacking resources to implement it by themselves,
  • organizations interested in customizing signNow API solutions (integrating eSignature functionality into their existing business flows).

As Paul describes it: “The breakdown between current airSlate users and those who come as Salesforce users is close to 50/50. Some customers also come through our joint partnerships, such as AppDirect or AppSmart.”

1. A non-profit organization saving up to 25 hours each week

“They purchased airSlate, and then came to us for implementation. At that point, they didn’t have Salesforce or any other CRM. They only had Dropbox, and they were an actively hiring organization, sending around 20 documents to each applicant! With our help, this whole process is now organized in airSlate, and manual work is almost entirely eliminated. They quoted 20 to 25 hours of work saved per week.

“Legal work comes with a significant amount of documents that need review, approval, signatures, and so on. For them, we did exactly what we do internally with our sales processes and Salesforce. With the click of a button, you pre-fill the document, send it out, perform the negotiations, and get all the changes accepted. Then everything gets signed and attached to your records. Any document can change its status and move inside and outside the organization without any manual handling involved.”  

3. Customers migrating from DocuSign to airSlate

Today’s SaaS market is already quite dense. The competition is fierce as business customers feel at liberty to switch to an alternative whenever they are not satisfied with the pricing model and/or the functionalities offered:

“We see a lot of customers migrating to airSlate from DocuSign. airSlate seems to be a bit more powerful than DocuSign. DocuSign has been embedded in Salesforce for a while already but lacks some sophistication in areas that are now of interest to our customers. This includes things like integrated business processes and automated workflows. And this is why airSlate is way better suited than DocuSign.”

4. Established enterprises finally transitioning from manual quoting

Large businesses are known to be rather slow-moving and inflexible when it comes to strategic decision-making, especially where changing software is concerned. OMI is making digital transformation a smooth experience for large organizations:

“Some large organizations still perform quoting manually. We focus on bringing their opportunity management and their quoting process into Salesforce, then airSlate processes are tacked on top. The whole process becomes seamless,” this is how Paul describes OMI’s solution.

When concluding our interview, we asked Paul a question we felt was most applicable to digital transformation and workflow automation moving into 2022:

“If the lockdowns did not make businesses go digital before, why and how should they start digitizing now?”

Paul’s answer is certainly something to reflect on:

“For whatever reason, there are still quite a lot of businesses that did not manage to automate and optimize during the COVID lockdown. Most probably, they do not realize the tremendous time-saving effect from it. And not only internally but also for customers and other stakeholders. I would recommend starting small. Many people try to bite off too much from this automation pie. Start small, with one or two key processes. Continuous improvement is great. With time, process automation will surely expand to every core business process of an organization.”

1. Contract negotiation

airSlate for Salesforce can be used to streamline a sales contract negotiation. Let’s view a typical contract negotiation process involving three roles:

  • a sales representative who needs to send a sales contract to their client
  • a client who wants to purchase goods
  • a VP of Sales who needs to approve the sales contract.

The contract negotiation process requires that each of the roles completes the following steps:

  1. A sales representative, who has been negotiating a deal, sends the sales contract to a client. 
  2. The client reviews the contract, and approves, or suggests changes, if necessary.
  3. The approved contract is signed by both the client and the VP of Sales before any goods are delivered. 
  4. The sales representative needs to track contract negotiations and the signing process to document the chain of custody.

To automate the contract negotiation process using the airSlate for Salesforce integration, you will need to set up the following Bots:

How to automate contract negotiation using airSlate and Salesforce

As a result of contract negotiations, a sales representative has the Opportunity record in Salesforce along with the details about the deal, as well as Account information and Contact data. Using airSlate, sales reps can add a button on the Opportunity record that will generate a Contract for them automatically, using a pre-defined flow template and data from Salesforce.

Here’s what the contract negotiation process looks like in airSlate:

  1. Sales can edit the Contract to add more data if needed. Once the Contract is ready, they need to click the Complete button to send the Contract to the Client.
  2. The Client receives an email with the link to the Contract. They will see the Contract populated with their data automatically and will be able to suggest changes as needed.
  3. Sales is notified by email about the suggested changes so they can review the changes suggested by the Client. If they are happy with these changes, they can Complete Negotiation. Alternatively, they can keep the Contract editable and continue negotiations.
  4. When the contract is ready for signing, Sales completes the document and it is sent back to the Client for signing.
  5. The Client is notified by email and opens the Contract. Sales can choose to be notified by email once the Client opens the Contract. They can also monitor the signing progress without leaving Salesforce.
  6. Once the Client signs the Contract, the VP of Sales is notified by email. They then open the Contract and sign their part. Sales will see the Opportunity status update automatically in Salesforce with the Sales Contract attached.
  7. The Client receives the signed Contract by email and the deal is done!

2. Price quotation

Price quotation is one of the most common sales processes that the airSlate for Salesforce integration can streamline. Let’s view a typical price quotation process involving three roles:

  • a sales representative who needs to send a Quote to a client 
  • a client who wants to purchase goods
  • a manufacturer who needs to send goods to a client. 

To automate the price quotation process using the airSlate for Salesforce integration, you will need to set up the following Bots:

As a result of negotiating with the Client, Sales has all the necessary information about the deal stored in Salesforce — the Opportunity and related objects, such as Products, Contact, and Account. They are ready to send the Quote. 

Here’s what the price quotation process looks like using the airSlate for Salesforce integration:

  1. Once a Sales representative clicks the custom button added to their Opportunity, the airSlate integration collects data for the Quote from Opportunity, Products, Account, and Contact. Sales can also add information or make changes on the fly and sign from their side.
  2. When Sales clicks the Complete button on the Quote, it will be automatically sent to the Client. After that, the Opportunity status in Salesforce will be updated. A Quote can also be routed for internal approval, if necessary.  
  3. The Client receives an email notification and opens the Quote. Sales can choose to be notified by email once the Client opens the Quote. They can also monitor the signing progress without leaving Salesforce.
  4. The Client can review the information, update some details like PO number, and sign the Quote. A payment form can also be included in the package to collect payment immediately, if necessary.
  5. After that, Sales can see the Opportunity status updated automatically in Salesforce along with the signed document attached. The Account record is also updated with new contact information entered by the Client.
  6. The Manufacturer can see the Sales Order updated automatically with a PO number. The signed Quote will be attached to the Sales Order record as well.

3. Vendor contract approvals

Sales departments often face a number of bureaucratic bottlenecks during vendor contract approvals. Before sales and procurement can legally start working with new suppliers, they have to fill out registration forms and sign various agreements and policies. Using airSlate’s workflow automation, it’s possible to accelerate and simplify the document flow between all parties involved in the process.

Let’s view a typical vendor contract approval process involving three roles:

  • a procurement manager who checks the information about a new vendor and signs a vendor contract 
  • a vendor – a new supplier who will be providing goods and services. The vendor provides their company’s information, payment details, and signs the contract
  • a Chief Operations Officer (COO) who gives final approval, signs the contract, and processes payments.

To automate the process of approving vendors, you will need to set up the following Bots:

Here’s how the process of approving vendors is automated using airSlate:

1. A Procurement manager requests data from an approved vendor. The Vendor receives a link to the registration form and contract to be filled out and signed. The Procurement manager easily follows up on the process by receiving email notifications once documents are completed. 

2. The new Vendor adds their contact information and payment details to the vendor registration form and submits it. The Vendor is then automatically transferred to the vendor contract which is already pre-filled with data from the registration form.

3. The Procurement manager is notified via email that the Vendor has completed the documents. They review the documents and if everything checks out, they sign the contract as well.

4. Then, the Chief Operations Officer receives an email invitation to fill in the documents. They open the contract and sign their part. The COO then processes the payment. 

5.  The vendor contract approval participants receive their signed copies via email. All the completed documents are automatically archived to the cloud storage of their choice.

Challenges

Difficulties in creating a regular experience for end-users was a constant issue that had been affecting the overall flow of T2’s platform. «Our other challenge was creating a solution that included all the required features we needed, such as the ability to save our partially completed forms,» says Anthony Matero, T2 Operations.

Before airSlate, T2 had been using MS Word and Adobe Acrobat to process forms and sensitive information. Due to the compliance process for obtaining medical data, T2’s inability to revisit their forms and complete them at a later time without having to restart an entire workflow was causing unnecessary delays.

Addressing the issues

airSlate’s built-in integration with Salesforce gave T2 a direct path for using airSlate throughout their CRM system so that they could start utilizing its functionality on day one. Matero recalls, “airSlate’s ability to seamlessly integrate with Salesforce allowed us to easily disseminate important forms to end-users. It can automatically attach completed forms that meet compliance regulations back into Salesforce.

Standard airSlate functionality addressed T2’s issue of consistent user experience. Another frustrating challenge T2’s office of around 30 employees was facing was access to unfinished forms. «We are also very pleased with the feature that allows us to save unfinished forms and return at a later date to complete them,» says Matero. «The process of filling out our forms is easier. The end-user’s ability to enter the correct information into the form fields the first time has improved.»

In Salesforce, users can run the export process manually or automatically, on a weekly or monthly basis.

3 reasons to export data from Salesforce

There are three reasons to perform a Salesforce data export:

  1. To retain Salesforce data in a separate file for the purposes of data analysis, reporting, and visualization.
  2. To backup data. The 2020 Salesforce Data Recovery Service’s retirement caused concerns among users. It later became known that Salesforce backup and restore services built natively on the platform will be available in summer 2021.
  3. To integrate a Salesforce account with a third-party app and import Salesforce data there.

How to export data from Salesforce to Google Sheets using airSlate Bots

In this chapter, we’ll focus on the three most common ways to automate a Salesforce data export – using airSlate’s no-code Bots, the native Salesforce Data Export tool, and/or a custom script.

How to automate your business processes with airSlate Bots

airSlate’s no-code Bots allow users to set up a fully automated no-code workflow designed to fit specific business needs, including data transfers. In a very general sense, bots are software robots that perform actions based on pre-set conditions and are triggered to act when a Slate (package of documents) is opened or after it’s been edited.

Using no-code bots doesn’t require any special technical skills, which makes the process easy and intuitive for business users. When properly configured, bots can complete a vast scope of tasks without any further action from the user.

In airSlate, Bots are split into two categories based on their mode of operation:

  • Automation Bots are used to manage access control to documents, send notifications and reminders to the intended recipients, and so on.
  • Integration Bots are used to build connections with third-party services like CRM systems, databases, systems of record, and others.

airSlate’s integration Bots include various data export bots, which allow users to automate data exports from third-party software including CRMs, databases, productivity applications, etc. Using these bots allows users to eliminate issues associated with manual data entry and ensure the accuracy of business data. To export Salesforce data to Google Sheets, you will need to leverage two integration Bots – the Pre-fill from Salesforce Record Bot and the Export to Google Sheet Bot.

Follow the steps below to perform a Salesforce data export to Google Sheets using airSlate Bots:

Complete the following steps before you start using airSlate Bots:

  1. To start working with documents, create a Flow that can later be connected to integration or automation Bots.
  2. Add the documents you intend to use.
  3. Set up Bots to automate the data transfer.

The process of a Salesforce data export to Google Sheets with airSlate involves two stages:

1) exporting data from your Salesforce record to the Slate (a document or spreadsheet).

2) moving this data from the Slate to a Google Sheet.

Make sure that your airSlate workflow is properly configured before exporting Salesforce data to Google Sheets.

Once you’ve uploaded the necessary document(s) or created them from scratch, you will need to set up two airSlate integration Bots:

  • The Pre-fill from Salesforce Record Bot
  • The Export to Google Sheet Bot

Follow the step-by-step instructions below to configure the Pre-fill from Salesforce Record Bot:

  1. Connect your Salesforce account to your airSlate workflow and select the instance you will use: Production, Sandbox, or Custom URL.
  2. Choose the Salesforce base object with the record you need (e.g., you want to export Contacts from Salesforce).
  3. Set the correspondence between the Salesforce record fields and the document fields (where you will export the data).
  4. Select the Bot execution condition that will trigger the Bot to act (e.g., the Bot will be triggered once a specific field in the document is filled in).

Once the execution condition is fulfilled, the data will be automatically exported from the indicated Salesforce record to your document.

To move the exported data from the document to a Google Sheet, set up the Export to Google Sheet Bot:

  1. Connect your Google account to your airSlate workflow and select the Google Sheet you intend to populate with data.
  2. Set the correspondence between the document fields and the fields in the Google Sheet.
  3. Select the Bot execution condition that will trigger the Bot to act.

Once the execution condition is met, the data will be automatically exported from the document to the selected Google Sheet.

How to export data using native Salesforce functionality

The native Salesforce Data Export tool allows users to pull data from Salesforce once per week/month and/or schedule mass exports once a month. Once the export is configured, the Data Export tool emails a link to a downloadable CSV file the Salesforce user has to manually download on their device.

On the one hand, using a native tool within the Salesforce environment is convenient, since it doesn’t require any third-party apps or plug-ins. On the other hand, the native Salesforce Data Export tool only automates half of the process, as users still have to download the CSV file manually.

Follow the step-by-step instructions below to set up a Salesforce data export using the Data Export tool:

1. Start by clicking Setup, then expand Data Management on the left side of the screen, and then click Data export.

2. You will be presented with two options – “Export Now” or “Schedule Export”.

The “Export Now” option allows users to manually extract Salesforce data once per month. Users of Enterprise, Performance, and Unlimited Editions can export data every week.

Select the data you intend to export, then click Save. Once the file(s) are ready for download, you will receive an email notification.

Take note: the exported file(s) will be available for download for 48 hours. Click Download to retrieve the ZIP archive containing the CSV file to your device.

3. The “Schedule Export” option allows for automating the process of executing a Salesforce data export on a monthly basis. Set the frequency, select the data you need exported, and then click Save.

Take note: the exported data will be pulled automatically into a CSV file on the schedule you’ve set. After that, you’ll need to manually save it to your device.

How to export Salesforce data using a custom script

The Salesforce platform can be expanded with the pre-programmed Extract, Transform, Load tool or script. ETL refers to the procedure of pulling data from one or several sources into a destination system which then processes the data and represents it differently from the source or in a different context.

An ETL tool/script is capable of extracting data from Salesforce into CSV format and outputting the aggregated files in a target destination for analysis or retention. For instance, a custom script in Python or Ruby allows for automating the process of downloading files from Salesforce to a local computer. After that, a script sends out an email notification per the download’s completion or failure.

Overall, configuring a custom script is a great option for both tech-savvy users or if there’s a way to leverage the IT department. On the other hand, for an average business user, pre-programming a script to automate a Salesforce data export requires technical skills and knowledge of programming they simply may not have.
